A clear complaint should identify the issue, explain what has already happened and state the resolution you are requesting.
Step 1: Identify the subject of the complaint
Clarify whether the matter concerns an account, business listing, review, moderation decision, support interaction, billing issue or technical problem.
Step 2: Collect the relevant references
Prepare the information needed to locate the matter.
- Your full name
- Account email
- Business name where relevant
- ClearSay profile or review link
- Previous support reference
- Relevant dates
- Screenshots or documents
Step 3: Write a factual summary
Explain what happened in date order. Keep the wording clear and avoid unrelated history, threats or abusive language.
Step 4: Explain what you have already done
State whether you reported the review, contacted the business, reset the account, submitted a claim or followed earlier support instructions.
Step 5: State the requested resolution
Be specific about what you want ClearSay to review, correct or explain. A requested outcome is not guaranteed, but it helps the complaint be assessed properly.
Step 6: Submit the complaint
Use the ClearSay contact page. Use a clear subject such as “Formal complaint – business profile” or “Complaint regarding review decision”.
Step 7: Keep the confirmation
Save the submitted message, reference number or confirmation email. Reply within the same conversation when providing additional information.
Submitting evidence
Send only relevant evidence. Remove unnecessary personal, financial or customer information. Do not alter screenshots or documents in a misleading way.
Avoid duplicate complaints
Repeated messages through several channels can split the information and delay review. Use one clear thread unless instructed otherwise.
Complaints about reviews
Disagreement with a lawful negative opinion does not automatically justify removal. Explain the specific guideline, factual or procedural issue that you want assessed.
